Job Description:Designation :& amp nbsp Property Manager Location: Nagpur Experience: 10-15 years Job Summary: Responsible for assigning and supervising all operational activities as undertaken by CBRE at site. Ensure smooth working at site through organizing, directing, managing and evaluating operations in areas of facility and management support services such as facilities management, general services, contract management, purchasing, internal communication and related work. Essential Duties and Responsibilities: Point of contact for client for scope of services of CBRE. Responsible for overall upkeep of the site to high standards of operations, maintenance and cleanliness. Understanding of the detailed scope of services as agreed with client. Responsible for completing the transition / takeover checklist. Understanding the manpower planning and schedules as planned by the BD / Operations team. Responsible for understanding the costing Responsible for having the vendor evaluation done at site. Responsible for maintaining the vendor evaluation copy at site. Responsible for preparing and tracking of snag list. Liaise for rectification of snags with various vendors / project team. Ensure proper taking over of O& amp amp M manuals, drawings, warranty certificates, Licenses, etc. from the project team. Updating of asset register of the site. Responsible for understanding the QMS and ISO systems and process of CBRE. Responsible for implementation of the QMS at site. Responsible for understanding and compiling SOPs for each and every activity at site. To compile the site OPERATION MANUAL. oOperation manual to contain information on each individual service oFacility details oOrganisation Structure and team responsibilities oVendor information oEscalation matrix oSpecification and general guidelines oSOPs oSchedules oChecklists oLogbook oSpecific instructions about any services oDeviations oClient expectations oReporting methods oBook keeping and record keeping oFacility oContingency plans Etc. To liase with external vendors for training of onsite team for operation of Air conditioning, Electrical system, Plumbing and other services at site. Understanding of client policies for implementing of oProcurement ( services and products ) oPurchasing oInventory management oSafety regulation requirements oFire & amp amp Safety drills oFirst Aid Kit oEscalation matrix oBilling oEmployee movement oPetty cash oSelling of scraps oVisitor management oStationery oDay to day running of the facility Etc oAll other services rendered by CBRE Awareness of all insurances, taxes, statutory liabilities of the client. Responsible for tracking the payments of all Insurance policies, statutory payments related to the municipal / statutory authorities etc.. based on information provided by the client. (Pls. ask your Operations Manager to provide a list of all statutory licenses / insurances that need to be tracked ) Implementing & amp amp Training of CBRE staff and the vendor staff working onsite on client policies and procedures. Preparation of daily report and submission on time to client with a copy marked to operations manager Preparation & amp amp submission of monthly management report by 7th of every month to the client with a copy marked to operations manager. Ensure the review of MMR with Operations Manager along with the client every month. Ensure monthly signoff sheet is sent to CBRE office in the 1st week of every month. Ensure customer feedback form is filled from client representatives every month and sent to CBRE office for further analysis. Responsible for compiling the feedback statements and taking corrective measures on the variances / complaints / feedback. Ensure all bills from the vendors are sent to CBRE office with proper backups for processing. Ensure accuracy in cost sheets as submitted to office and checking the cost sheet upon receipt of the invoice. Tracking of all vendor and CBRE bills for payments, ensuring the client pays on time. Follow up for any delays in payments Ensuring the full payment is received without deductions in the invoice. Ensuring all details are received from client without delay for any short payments. Breakup of the payments for any deductions / TDS etc.. should be known immediately. Ensuring a safe working environment in the clients premises. Ensuring safety practices are followed in all activities, use of safety signages, recommending any changes in signage. Observing and giving feedback to client and CBRE on potential risks at the facility. Important to be physically present and take ownership of any Incident occurring on site. Immediate escalation of any incident to the Operations Manager and the client following the escalation matrix and instructions as given by the client. Compiling the accurate Incident Report in the right prescribed format.(Pls. ask your Ops. Manager for the format). Submission of Incident Report to the Client immediately within appropriate timelines. Plan, coordinate and organise training for a fire drill. Plan, implement and conduct a fire drill program at regular intervals as required. Aware of Budgets of the clients and maintaining records of all expenses incurred in the facility that are managed by us and those of which information is available. Analyse and track all expenses on an excel sheet. Suggest appropriate cost control measures by analysing alternates, conducting audits and inviting quotations from various vendors for the services / products. Learn and implement the QMS (Quality Management Systems) of CBRE on site. Responsible for implementing all ISO / QMS checklists, logbooks, tracksheets, reports etc.. on site as deemed applicable based on scope of services. Compile and track data of the facility that can be used for Benchmarking purposes of the facility. Prepare the PPM schedules and checklist for the equipments at site and adhere 100 % compliance to the PPM activity. Maintain and update the PPM track sheet. Maintain a data card for site to cover the statistical information on day to day activities. Maintain a healthy communication with client. All incidents should be properly tracked and a formal incident report to be sent to client within 24 hours of the incident. Co-ordinate with OEM for service obligation as per AMC & amp amp in case of Breakdown of system Maintain discipline and quality of work by all staff. Coordinating with AMC vendors for scheduled maintenance of all equipments. Tracking of all AMC and coordinate with client for timely renewals. Ensure all statutory compliances like PF, ESIC, Minimum wages, contract labour license etc. as applicable are strictly adhered. Co-ordinate with vendors, audit teams to ensure that the required documents are accurate and are maintained on site. Ensure appropriate labour licences are taken in time by CBRE and the client and a copy is maintained on site with the Facility Management Team. (Please take a list of documents from your Ops. Mgr. that are required to be maintained on site and the licences to be taken). Ensure the vendor staff have been interviewed by CBRE team and selected. Ensuring that the vendor provided the right quality of personnel to execute the jobs. Ensuring that the right number of people are provided by the vendors for execution of works. Recording all attendance and tracking any shortages. Ensuring payments are deducted and the right payments made in bills to vendors, deducting for absenteeism and tracking of overtime if done on request. Ensure the personnel on site are trained and where required, are trained by the vendor. Ensure that the vendor conducts periodic training. Maintain records of all the training programs conducted alongwith the contents and topics covered. Where necessary, co-ordinate for any training programs to be conducted inhouse by CBRE, by identifying the area and organising the training. Ensuring that all personnel including vendors are motivated, treated well by all and feel a part of team. Conducting team building exercises within the site team. Ensure all calls are logged by the Helpdesk executive and tracked for completion. Feedback for any unresolved calls to be given to the user and close follow-up to be carried out for completion. Ensure all OEM and other vendors submit service report for all service calls. Carry out analysis on user complaints / requests and recommend solution on the complaint analysis. Innovate, suggest and implement energy conservation ideas. Update client on various maintenance issues and improvement of the building systems. Ensure inventory is maintained for all M& amp amp E and Housekeeping consumables at site. Prepare and analyse consumables and spare parts consumption for statistical and financial reports. Make periodic inspections of the office building(s) and equipment to determine if janitorial, security and other services are adequate and whether repair work is needed review safety and security equipment and procedures for adequacy. Highlight critical issues/problems with recommended solutions which should contain the technical recommendations / alternatives, cost, time schedules, etc. Ensure all safety guidelines/ requirements are adhered to by team members/vendors. Maintain discipline and quality of work by all staff. Organize and coordinate formal monthly meetings with client. Ensure all meetings are recorded and a minutes of meeting is circulated to all attendees within 24 hours of the meeting. Conduct formal monthly meetings with sub-contractors. Ensure all meetings are minuted and a minutes of meeting is circulated to all attendees within 24 hours of the meeting. Conduct monthly reviews individually with the various departmental managers technical, soft services etc. Planning, preparation and execution for any special event being organized at site Expected to learn and upgrade his knowledge for awareness towards services : (Training Presentations, Films, Guides, Manuals are available with all CBRE offices, Pls. ask your operations Manager to provide access to the mentioned guides) Services include : oHVAC System oElectrical Systems oPower Backup Systems ( DG / UPS). oAudio / Visual Services oBMS Systems (including Access Control & amp amp CCTV) oFire Protection Systems - Smoke Detectors - Sprinklers - Hydrant systems oPlumbing ,Carpentry & amp amp Building Maintenance
